January

  • Submit IRS e-postcard filing for non-profit organizations
  • File Washington State non-profit organization annual report
  • File Washington State B&O tax report. No taxes are ever required.
  • File Bellingham B&O tax report. No taxes are ever required.

March

  • Receive request from Washington State Parks for five camp weekends for the following year. Request Friday through Monday of the first weekend in August and four alternate Friday through Monday weekends.
  • Open camp registration while watching ferry reservation booking dates. We want to have all campers accepted by the time ferry reservations open for summer season.

April

  • Return Retreat Center application and pay deposit to Washington State Parks to reserve camp dates for following year.
  • Make ferry reservation for 26′ truck when ferry reservations open.
  • Determine when Doe Bay Fest is happening.
  • Send email to campers reminding them when ferry reservations open for August. Warn campers of heavy reservation website traffic if Doe Bay Fest is the same weekend as Orcas Camp.

May

  • Renew CDSS group membership
  • Renew CDSS non-profit organization membership
  • Purchase camp liability insurance through CDSS
  • File balance sheet financial report with CDSS

June

  • Reserve 22′-26′ truck for weekend of camp
  • Reserve two propane grills without covers from Ideal RentAll in Mount Vernon

July

  • Send email to campers soliciting discount ferry ticket purchase
  • Purchase ferry ticket books and distribute electronic tickets to campers
  • Finalize camp weekend menu
  • Print grocery shopping lists
  • Go shopping for non-perishable goods. Pack boxes.
  • Place salmon order with Barleans Seafood

August

  • Go shopping for non-perishable goods. Pack boxes.
  • Do more shopping for non-perishable goods. Pack boxes.
  • Stage camp supplies in living room
  • Assign camper families to Family cabins
  • Print camp sign-up sheets, camper task lists, camper activity lists
  • Print kitchen recipe book
  • Notify Moran State Park that we will need 150 coffee cups

Wednesday before camp

  • Go shopping for perishable goods. Pack boxes.

Thursday before camp

  • Pick up rental truck
  • Pick up salmon from Barleans
  • Go shopping for perishable goods. Pack boxes.
  • Pick up propane grills in Mount Vernon

Thursday night before camp

  • Pack truck

Friday morning of camp

  • Up early and drive truck to Anacortes ferry terminal
